Job Title: Executive Assistant

Department: Administration

Wage Category: Annual Salary with Benefits

Salary: $50,000 to $65,000 per annum

 

The salary range reflects the expected compensation for this position. The final offer will be determined based on a holistic assessment of the candidate’s qualifications and experience.

 

Responsibilities:

• Works closely and effectively with executive leadership to stay informed of upcoming commitments and responsibilities, following up appropriately; makes judgments and recommendations to ensure smooth day-to-day engagements
• Maintains workflow under pressure in a fast-paced, high-profile environment while responding effectively to changing priorities and direction.
• Schedules and coordinates meetings, travel arrangements, transportation services, and professional association activities.
• Provides a bridge for smooth communication between internal departments; demonstrates leadership to maintain credibility, trust and support with senior management staff
• Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
• Manage sensitive information with the utmost professionalism and confidentiality.
• Performs other duties as may be required

 

Qualifications:

• Minimum 5 years of experience in administrative support, executive support, or a corporate office environment.
• Excellent verbal and written communication skills, with the ability to manage sensitive situations and resolve conflicts professionally.
• Strong organizational and time management skills, with the ability to prioritize multiple tasks and maintain exceptional attention to detail.
• Demonstrated proactive approach to problem-solving and sound decision-making abilities.
• Highly resourceful and adaptable, with the ability to work both independently and collaboratively within a team environment.
• Proven ability to handle confidential and sensitive information with discretion and professionalism.
• Demonstrated ability to meet deadlines and achieve high-performance standards in a fast-paced environment.
• Forward-thinking mindset with a continuous focus on identifying opportunities for improvement and recommending effective solutions.
• Experience supporting internal and external communications is preferred.
• Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
• Fluent in both English and Chinese is an asset
